Sending policy

1. Why this exists

Cold email is lawful in many places when it is done carefully and unlawful in many places when it is not. Deliverability is shared: one sender’s abuse burns the reputation of the domains around it. This policy sets the floor for every workspace.

2. Lawful basis and recipients

  • You must have a lawful basis to contact each recipient under the law that applies to you and to them, and you are responsible for knowing which laws those are.
  • Business-to-business outreach to a person in a role relevant to what you offer is the intended use. Consumer marketing is not.
  • Lists must come from a source you are entitled to use. Do not import lists you cannot account for.

3. Content and identity

  • Say who you are. The sending mailbox, the name and the signature must identify you or your client truthfully.
  • No deceptive subject lines, forged headers or misleading claims.
  • Every message must make it easy to stop hearing from you. A plain reply asking to stop counts, and the product treats it as an unsubscribe.
  • Content that is unlawful, that promotes unlawful goods or services, or that harasses is prohibited.

4. Unsubscribes and do-not-contact

A reply classified as an unsubscribe is honoured automatically and the address is added to your do-not-contact list, whether or not you uploaded one. You must not remove such an entry. You may add to the list at any time and the product will not send to anything on it.

Out-of-office and similar automatic replies are not treated as consent to continue.

5. Volume and verification

  • Each mailbox has a daily cap and a sending window. Do not circumvent them.
  • Mailboxes enter rotation when warm-up says they are ready, not before.
  • Addresses that cannot be verified are held out of the send by default. Allowing them is your choice and your risk.
  • A campaign is launched by a person. A reply is sent only after a person approves it. The product does not provide a way to bypass either.

6. What we do about it

Where we reasonably believe a workspace is sending contrary to this policy, or its sending is damaging the deliverability of others, we may pause its sending and will tell you why and what would resolve it. Repeated or serious breaches may lead to suspension under the Terms of service.

7. Reporting abuse

If you received a message you believe breaches this policy, forward it with its headers to the address on the contact page. A person will read it.
